Summary

You can set a resource to automatically process all incoming meeting requests and cancellations. Exchange 2010, 2013 and Office 365 facilitate this by providing a list of options and permissions:

Scheduling Options

Explanation

Automatically process meeting requests and cancellations

Allows for automatic processing

Disable Reminders

No reminders are kept for meetings in the resource mailbox

Maximum number of days in advance resources can be booked

Allows for a booking window

Always decline if end date is beyond this limit

Indicates whether recurring meetings are declined if the end date is beyond the booking window.

Limit meeting duration

Allows for duration of the meeting to be limited

Maximum allowed minutes

Specifies maximum length of each meeting

Allow scheduling only during working hours

Rejects meetings that are scheduled after work hours

Allow Conflicts

Multiple calendar items can be reserved during the same time

Allow recurring meetings

Allows for recurring meetings to be scheduled

Allow up to this number of individual conflicts

Specifies the maximum number of conflicts

Allow up to this percentage of individual conflicts

Sets a conflict percentage threshold for recurring meetings

 

Scheduling Permissions

Explanation

These users can schedule automatically if the resource is available

     Everyone

All users can automatically schedule the resource if it is available

     Select users and groups:

Specify individual users or groups of people who can automatically schedule the resource if it is available

These users can submit a request for owner approval if the resource is available

     Everyone

All users must submit a request for manual approval to schedule the resource if it is available,

     Select users and groups:

Specify individual users or groups of people who must submit a request for manual approval to schedule this resource if it is available

These users can schedule automatically if the resource is available and can submit a request for owner approval if the resource is unavailable

     Everyone

All users can automatically schedule the resource if it is available, or submit a manual request to schedule the resource if it is unavailable

     Select users and groups:

Specify individual users or groups of people who can automatically schedule the resource if it is available, or submit a request for manual approval to schedule the resource if it is unavailable
